Hobby & Craft Website Case Study: Turning Manual Order Entry Into an Automated Workflow

A hobby and craft business came to me already busy. They sold handcrafted decorations and craft candles, and ran group workshops on premises. Business was steady, but the tools running it weren’t keeping up.

Customers wanted to add custom greetings and personal notes to their orders, a natural request for a business built on handcrafted, personalized products. Their e-commerce platform had no way to capture that. Staff were pulling that information separately and adding it to each order by hand.

They also needed their order and customer data synced to Google Sheets, since that’s where the rest of their operations lived. Their platform didn’t support that either.

I used the same three-part approach I bring to any integration project where an off-the-shelf platform doesn’t match how a business actually operates.

Diagnose the Platform

Before writing anything, I got into the existing system to understand exactly what it could and couldn’t do natively. That meant mapping their current ordering process end to end, including where staff were stepping in manually to cover the gaps.

Build and Adapt the Solution

I tested a few approaches before committing to one, then built custom fields into the ordering system so customers could add greetings and notes directly at checkout. Alongside that, I built the integration connecting their e-commerce platform to Google Sheets, so customer and order data would sync automatically instead of getting copied over by hand.

Verify Before and After Launch

Nothing went live untested. I ran the integration through production-level testing first, then checked the results closely in the early days after launch to confirm the data syncing was accurate and consistent, not just working once.

Execution

The custom fields went into the ordering system so a greeting or note became part of the order itself, visible to staff without any extra step. The Google Sheets integration picked up new orders and customer details automatically, keeping their operational spreadsheet current without anyone re-entering it. I stayed close to the system in the first stretch after launch specifically to catch anything that only shows up under real order volume.

What Changed

Custom order details now flow into the system at checkout instead of getting handled separately by staff. Order and customer information reaches their Google Sheets workflow without manual entry.
